This Privacy Policy explains how I collect, use, store and protect your personal

information when you visit my website, make an enquiry, book a wedding cake or

subscribe to receive marketing emails. I am committed to handling your personal information responsibly, transparently and in accordance with UK data protection law.

 

Who I Am

Primrose Cakes is owned and operated by Kristina Quinton (also known as Krissy). If you have any questions about this Privacy Policy or how I use your personal information, you can contact me using the details at the end of this document. 

 

Information I Collect

Depending on how you interact with my business, I may collect your name, email address, telephone number, postal address, wedding date, wedding venue, booking information, guest numbers, cake design preferences, inspiration photographs or Pinterest boards, dietary and allergen information, delivery details, details of venues, florists and other suppliers involved in your wedding, payment and invoice information, correspondence sent by email, telephone, WhatsApp or social media, and information shared during online consultations, including meeting transcripts and AI-generated summaries where relevant to your booking.

 

How I Collect Information

Information is collected when you contact me through my website enquiry form, email, telephone, WhatsApp or social media, subscribe to my mailing list, download my wedding brochure, book a wedding cake, order a sample box, attend an online consultation or communicate with me during the planning of your wedding.

 

Why I Collect Your Information

I only collect the information I need to:

  • Respond to your enquiry.

  • Prepare quotations.

  • Maintain business records and comply with legal obligations.

  • Manage your booking.

  • Design, create and deliver your wedding cake.

  • Arrange consultations.

  • Keep accurate records of our consultations using AI-generated meeting notes and transcripts where applicable.

  • Post sample boxes.

  • Issue invoices and record payments.

  • Coordinate with your venue and other wedding suppliers.

  • Meet legal and food safety obligations.

  • Send newsletters and marketing emails where you have chosen to receive them.

  • Request reviews after your wedding.

I will never sell your personal information.



 

Online Consultations

I use Zoom to hold online consultations with my clients. During these meetings, I use Fathom AI to generate a transcript and meeting summary, helping me keep accurate records of the details discussed and reducing the need for extensive handwritten notes.

 

Fathom AI will notify participants when it joins the meeting. I do not use Zoom's video recording feature to record consultations unless this has been agreed separately.


 

Legal Basis for Processing

I only process personal information where I have a lawful reason to do so. Depending on the circumstances, this may include:

  • responding to your enquiry before entering into a contract

  • fulfilling my contract with you once you book

  • complying with legal obligations, such as maintaining financial records

  • my legitimate interests in running and improving my business

  • your consent, where you have chosen to receive marketing emails


 

Marketing Emails

I use MailerLite to manage my mailing list. You will only receive marketing emails if you have chosen to subscribe, for example by downloading my brochure or signing up to my newsletter. Every marketing email includes an unsubscribe link and you can opt out at any time.

 

Photography

I regularly photograph my work for my portfolio, website and social media. Images primarily focus on the cake but may occasionally include the couple, guests, venue styling, personalised cake toppers, welcome signs, table plans or other wedding details. Professional photographs supplied by photographers may also be used where appropriate. Photographs are stored securely in Apple Photos and retained while they remain useful for my portfolio and marketing. Where appropriate, I may also credit photographers, venues and other suppliers when sharing photographs.

 

Sharing Information

I only share personal information where it is necessary to provide my services. This may include sharing limited information with wedding venues, florists, planners and stylists to coordinate delivery, set-up and floral arrangements, Royal Mail or other delivery providers for sample box deliveries, and suppliers producing personalised cake toppers or other bespoke items.

Where photographs or personalised details are required for bespoke items, I will always ask your permission before sharing them and will let you know who the information is being shared with. I only share the information necessary for the supplier to provide the requested product or service.

I may also share information where required by law, including with HMRC, or with my insurer if necessary in relation to a claim or legal matter.

 

Where Information Is Stored

Information may be stored securely within Studio Ninja, Google Workspace (Gmail), MailerLite, Zoom, Fathom AI (including meeting transcripts and summaries where applicable), Apple Photos, my business banking records, WhatsApp and social media messaging platforms where you choose to contact me.

 

Cookies and Analytics

My website is built using Wix and uses Google Analytics to help me understand how visitors use my website. A cookie consent banner allows you to manage your cookie preferences.

 

How I Protect Your Information

I take appropriate technical and organisational measures to protect your personal information and only use trusted service providers to help me deliver my services. This includes providers such as Studio Ninja, Google Workspace, MailerLite, Zoom and Fathom AI. Where personal information is processed outside the UK, appropriate safeguards are used to protect your information.

 

How Long I Keep Information

  • General enquiries: up to 2 years.

  • Booked client records: 7 years after the wedding.

  • Financial records: 7 years.

  • Newsletter subscribers: until you unsubscribe.

  • Fathom AI recordings and transcripts: 6 months after the wedding

  • Portfolio photographs: while required for my portfolio and marketing.

  • WhatsApp and social media messages: deleted periodically when no longer required.

  • Venue allergen sheets: venues are asked to dispose of them appropriately after the wedding. I retain a photograph of the completed allergen sheet for up to 12 months for food safety records before deleting it.

 

Your Rights

Under UK data protection law, you have the right to:

  • Request access to the personal information I hold about you.

  • Ask for inaccurate or incomplete information to be corrected.

  • Request that your personal information is deleted where appropriate.

  • Restrict or object to certain types of processing.

  • Request a copy of your personal information where applicable.

  • Withdraw your consent to receive marketing emails at any time.
